The short version
- Every visit is saved on your phone first. Nothing is uploaded until the phone is connected to a StillSuite site with a setup code.
- Once it's connected, your visits go to your company's own StillSuite site: StillReporting, and StillCRM if your company uses it.
- No ads, no tracking and no third-party analytics. We don't sell your information or share it with advertisers.
- Your location is used for your visits, arrival reminders and the Around me map, nothing else.
- The map and the nearby venue search use OpenStreetMap services, which see the area you're in but not who you are.
Who this covers
StillSales is made by StillSuite ("we"), which makes software for craft distilleries. The app is used by the people who sell a distillery's spirits to bars, restaurants, hotels and liquor stores.
In this policy, "your company" means the business whose setup code your phone uses. Your company connects your phone to its StillSuite site, and it decides who on its team can see the visits you upload.
What stays on your phone
StillSales keeps its records in a database inside the app, on your phone: your visits and their notes, the photos you attach, your to-dos and reminders, and the list of accounts. It works with no signal and without an account. A phone that has never been connected keeps everything to itself.
The keys that let the phone upload, which come from the setup code, are stored in the iPhone Keychain, never in the app's database.
Venues found by Around me are kept on the phone and cleared out after 14 days.
What goes to your company's StillSuite site
When the phone is connected, StillSales syncs on its own while the app is open: when you open it, after you check out of a visit or change a to-do, and every few minutes. It doesn't upload while the app is closed or in the background. This is what it sends:
- You
- Your name and email address, from the setup code. They go with each upload so your visits are credited to you.
- Visits
- The account, when you checked in and out, where you were when you checked in (map coordinates, how accurate they are, and a street address), and your notes.
- Wrap-ups
- What's on the back bar and the menu, orders and samples, follow-ups, what the account needs from you, and bailment case counts.
- Contacts
- A contact you record for a visit (name, phone and email) goes to StillCRM so it shows on the account.
- Photos
- A smaller copy of each visit photo (a JPEG at most 1600 pixels on its long side), once its visit has arrived. The original stays on your phone.
- Deleted visits
- When you delete a visit on the phone, StillSales tells the site, so it hides that visit too.
- Feedback
- If you use Send feedback in Settings, your message and your name go to StillReporting, where the StillSuite team reads them to fix problems.
In return, the phone receives your company's name and logo, your name and role, the account list from StillCRM, and any StillQuote quotes on an account you open.
Once records reach your company's site, your company decides who on its team can see them. To have uploaded records corrected or deleted, ask your company, or write to us at hello@stillsuite.online.
Location
StillSales uses your location only for these things:
- Checking in. Where you are when you tap Check in picks the account you're standing in and is saved with the visit. This needs location permission while you use the app.
- Around me. Your current location ranks your accounts by distance and finds venues nearby (see Other services).
- Arrival reminders, only if you turn them on. iOS watches a 150 meter circle around up to 20 of your most recently visited accounts, and StillSales shows a notification when you arrive at one. This needs the Always location permission. Arrivals stay on the phone: nothing is uploaded and no record is kept of where you went.
StillSales doesn't record a route or follow you between visits.
Other services the app uses
- OpenStreetMap map tiles. The Around me map is drawn from OpenFreeMap (tiles.openfreemap.org), which receives requests for the part of the map on screen.
- OpenStreetMap venue search. To find bars, restaurants, hotels and shops nearby, StillSales sends your current location and a 5 km search radius to a public Overpass server (overpass.kumi.systems, overpass-api.de or overpass.private.coffee, tried in turn).
- Apple. Street addresses come from the address lookup built into iOS, which Apple provides. Directions open Apple Maps at the account's location. Dictation uses Apple's speech recognition (see the next section).
- Your share sheet. A CSV export goes only where you send it.
The map and venue requests carry no name, email, company or account details. Like any request over the internet, they include your phone's IP address.
Dictation and Apple Intelligence
The microphone is used only while you dictate a visit at check-out. When your iPhone can recognize speech on the device, StillSales requires that, so the audio doesn't leave the phone. When on-device recognition isn't available for your iPhone or language, iOS may send the audio to Apple to be transcribed, under Apple's privacy policy. StillSales doesn't save the audio. The text becomes part of the wrap-up.
On iPhones with Apple Intelligence, Apple's on-device model reads that text and fills in the wrap-up. On other iPhones, a simple reader built into the app fills in what it can. Either way, you check the wrap-up before it's saved.
Camera, photos and notifications
- Camera: to scan the setup code and to take visit photos.
- Photo library: to attach a photo you pick. StillSales takes only the photos you choose.
- Notifications: a reminder on the day a follow-up is due, and arrival reminders if you turn them on. They're scheduled on the phone itself; StillSales doesn't use a push notification service.
What StillSales doesn't do
- No ads, and no advertising identifier.
- No tracking across other companies' apps or websites.
- No third-party analytics or crash-reporting tools in the app.
- We don't sell your information or share it with advertisers.
Your choices
- Change or remove any permission at any time in the iPhone's Settings app, under StillSales.
- Turn arrival reminders off in StillSales under Settings, then Arrival reminders.
- Export every visit as a CSV under Settings, then Export visits (CSV).
- Disconnect this phone (under Settings, then StillSuite) stops syncing and keeps everything on the phone.
- Sign out and erase this phone's data (same page) tries once more to send what's waiting and tells you about anything that hasn't arrived. Then it erases the visits, photos, to-dos, reminders and account list from the phone and removes its keys from the Keychain.
- Connecting the phone to a different company asks first, then erases the first company's records from the phone so none of them go to the new one.
- To stop a phone's keys working on the server as well, your company disconnects the phone in StillReporting, under Settings, then Mobile access. The app then shows Disconnected.
- Deleting the app removes its database and photos from the phone.
